This policy describes how YoungFashionShow (“we”, “us”, “our”), as the company responsible for privacy and the service, processes personal data when you use our Staff mobile application (the “Staff App”) and related staff tools for event operations.

1. Who operates the Staff App

The Staff App and related services are operated by YoungFashionShow, which is the data controller for personal data described in this Policy. For privacy requests, support, and general contact, email info@youngfashionshow.com.

The Staff App is intended for authorised event staff and workers. Access is granted by YoungFashionShow administrators.

2. Data we collect

Depending on how you use the Staff App, we may process:

2.1 Staff account and identity

  • Email address (login and communication).
  • Name (as provided in your staff profile).
  • Phone number (if provided for your staff account).
  • Password (stored using secure hashing; not in plain text).
  • Staff role(s) and permissions assigned for event operations.
  • Authentication tokens after login (to keep your session secure).

2.2 Event operations data you access or create

  • Participant and assignment information needed for your role (e.g. child name, brand, package, stage progress, tickets, meals, rehearsals, where available).
  • Photos and look/costume images shown in the Staff App for operational checks.
  • Parent/guardian contact details displayed where your role requires them (e.g. name and phone for coordination).
  • QR / barcode scan results and related scan logs (check-in, stage completion, parking, gifts, meals, and similar staff workflows).
  • Operational notes and status updates created through staff tools.

2.3 Communications

  • Content you send in in-App staff or event chat features (message content and related metadata needed to operate chat), where available.
  • In-App notifications sent to your staff account by authorised administrators.
  • If you email us or use a support form, the information you provide (name, email, subject, message, attachments).

2.4 Technical data

  • IP address and related network data as processed by our servers or hosting.
  • Device and app information (e.g. OS, app version) as sent with requests or needed for compatibility and security.
  • Camera access on device when you use QR scanning (processed on-device / for the scan request; we do not use the camera for unrelated recording).
  • Server logs (timestamps, routes, errors) for security, debugging, and reliability.
  • Cookies or similar technologies on our websites or web views, where applicable.

2.5 Analytics, crash reports, push

The Staff App primarily relies on our backend APIs and standard server logging. If we add third-party analytics, crash reporting, or push notification SDKs in a future release, we will update this Policy and, where required, seek appropriate consent.

3. Why we use your data

  • To authenticate staff users and maintain secure sessions.
  • To assign roles and show the correct event workflows for your duties.
  • To operate event checkpoints (scans, stage progress, check-ins, meals, gifts, parking, and similar staff tools).
  • To display participant and contact information needed for authorised event operations.
  • To provide staff chat and in-App notifications from authorised administrators.
  • To provide support to staff users.
  • To protect security and integrity (abuse prevention, troubleshooting, backups, audit of operational actions).
  • To comply with legal obligations and enforce our terms.

We do not sell your personal information.

4. Who we share data with

  • Hosting and infrastructure (servers, databases, file storage for images or operational documents).
  • Email or messaging providers for operational or support communications.
  • Professional advisers where required, under confidentiality obligations.
  • Authorities if required by law or to protect rights, safety, and security.
  • Authorised YoungFashionShow administrators and event operators who manage staff access and event data.

If analytics, crash, or push vendors are introduced, they will act as processors under appropriate agreements, and we will name them here.

If data is processed outside your country, we use safeguards where required by law (e.g. standard contractual clauses).

5. Retention, storage, and security

  • We retain staff account data while your staff access is active and as needed to provide the service, comply with law, resolve disputes, and enforce agreements.
  • Event operational records (including scan logs, stage progress, chats, and related event data) may be kept for operational and legal needs tied to the events you worked on.
  • We use technical and organisational measures (access control, HTTPS, password hashing, role-based permissions, restricted admin access).
  • No method of storage or transmission is 100% secure; we work to protect data but cannot guarantee absolute security.

6. Your rights

Depending on your jurisdiction, you may have rights to access, correct, delete, restrict, or object to processing, data portability, withdraw consent where processing is consent-based, and lodge a complaint with a supervisory authority.

To exercise your rights, email info@youngfashionshow.com. We may verify your identity and staff affiliation before fulfilling requests.

7. Account and data deletion

Staff accounts are created and managed by YoungFashionShow administrators. To request deactivation or deletion of your staff account and associated personal data, email info@youngfashionshow.com.

We will delete or anonymise staff personal data unless we must retain certain information for legal, tax, regulatory, security, audit, or dispute reasons. Aggregated or de-identified data may be retained where it no longer identifies you.

Operational event records that are not solely your staff account data (for example, scan history tied to an event) may be retained as part of event operations even after staff access ends.

8. Staff responsibilities

If your role lets you view participant or parent/guardian information, you must use it only for authorised event duties, keep it confidential, and not copy or share it outside approved YoungFashionShow processes.

9. Third-party links

The Staff App or our sites may link to third parties. This Policy does not apply there; please read their privacy notices.

10. Changes

We may update this Policy. The “Last updated” date at the top will change. Material changes may be communicated as required by law or in the Staff App.
